Electronic Monitoring Portal Usage Guidelines
Authorised users are those employees of Electronic Monitoring who have been issued with a G4S email and password to join the portal.
Authorised Portal users shall not:
- Use the portal in any way which would be in breach of copyright, contracts or licence agreements or give rise to any liability on the part of the Group
- Submit comments which are abusive or defamatory or contain offensive language
- Use the portal in any way to harass or bully other people
- Use the portal to engage in any illegal activity
- Use the portal for the purposes of any business other than Group business
- Make derogatory comments about any organisation or individual, including subjects
- View or distribute pornographic or other data which could be considered offensive
- Download commercial software or any copyrighted materials belonging to third parties, unless this download is covered or permitted under a commercial agreement or other such licence
- Download or distribute pirated software
- Hack into unauthorised areas and sites
- Publish defamatory and/or knowingly false material about the Business, colleagues and/or our customers including our subjects
- Publish any information which would lead to the identification of a subject
- Undertaking deliberate activities that waste staff effort or networked resources
- Introduce any form of malicious software into the corporate network
MONITORING
In order to safeguard Electronic Monitoring from the risks referred to in these guidelines and to maintain the confidentiality, integrity and availability of the Group information security assets, Group has the right to monitor all of the assets and facilities that are made available to users and to monitor, intercept and/or record any communications made by personnel, including e-mail, local-area-network or Internet communications.
Any monitoring will be carried out subject to the requirements of legislation including the Data Protection Act 1998, the Human Rights Act 1998, the Regulation of Investigatory Powers Act 2000 and the Telecommunications Regulations 2000. Monitoring may be carried out for any purpose authorised by legislation.
Personnel are required to co-operate and assist, as necessary, with any monitoring carried out in accordance with this Policy or for any other purpose authorised under the Telecommunications (Lawful Business Practice) (Interception of Communications) Regulations 2000.
It is the intention of Group that any monitoring will be proportionate, taking into account the risk(s) of harm to the interests of Group and the extent of any intrusion into the privacy of users.
DISCIPLINARY ACTION
Any breach by an employee of any of the above principles relating to the Portal could lead to disciplinary action and may in a serious case result in the dismissal of the employee concerned.
Additional restrictions relating to e-mail or Internet use may be imposed by individual group companies or departments at any time.
