Search and Contact your Talent Pools (Tags)

You can contact your talent pools of candidates very quickly and easily – here’s how –

Within CV Search, go to the Filter by Candidate Tags feature on the left hand side – 

Select which of your talent pools you wish to contact (you can select more than one if you wish), then click Done

You can continue to filter your candidates by adding Boolean or other search criteria, including all the filter options to the left of the screen

(by requesting to filter by more than 1 candidate tag will search for X tag OR X tag)

 

 

Yo can contact this talent pool, individuals from it (click the box to the left of each profile and use Select button to choose who, from the list you’d like to contact, then Contact Selected

Other options include –

  • Send them a message (this saves you from blind copying everyone into an email and saves the action to each candidate’s notes)
  • Invite (or apply) them to a vacancy (this sends the vacancy to each candidate, asking if they’d like to apply)
  • Apply them to a vacancy (please use this only when you know the candidate, and consider the fact the candidate will not have completed their questionnaire as part of the application for that role)
  • Tag them
  • Send their CVs or Questionnaires to yourself or a colleague
  • Save this search

 

Tips!   If you want another recruiter to see that you have tagged someone, you should use a public (grey) tag

Orange tags are visible only to yourself

Add tags to candidates who are for example ‘At Risk’ to keep in touch with them,  sending them vacancies & company updates – see ‘Inviting Candidates to Apply’ for more information.

Anonymised/Anonymous Applications

 

Below is a summary of the main areas that have been added to set up and managed the Anonymised Applications process and the views the users see.

 

Creating a job

When you now create a new job on the ATS you will see the following box as part of the process.

When both of these options are selected the full ATS will be anonymised for candidate applications.

 

  • If only the “Enable anonymous CV sending” option is selected then the candidate data is NOT anonymised and only the CV generated by Tribepad is when sent from the platform.
  • When “Enable anonymous candidates throughout the ATS” is selected then the full ATS is anonymised.

 

When the Enable anonymous CV Sending is selected then job is automatically set up to not allow the candidate to upload their own CV against this application.  This is done by auto blocking the option in the User journey section.

 

Viewing a job

When the job has been selected to be anonymised then when viewed by the ATS user they will see the following candidate view, where the name is replaced by a code.

The Download CV option will only download the anonymised Tribepad generated version.

Emails

When the candidate applies for a job which is part of the anonymised process, they will be told their candidate reference with the top of the email, which they should use if they wish to contact the recruitment team.

 

All emails sent to the candidate who have applied to an anonymised jobs will be titled: Dear Candidate and will have the following sentence within the top of the email:

 

Your reference for this application is: “candidate 1234”.  Please use this when contacting the internal recruitment team for support.

 

CV Search

CV Search has been updated to allow a user to search against the candidate reference, and this will return the anonymised version of the candidate.

You can also search within CV search on a job reference and if this job reference is part of the anonymised process then all candidates returned as anonymised.

Job Log

The job log has been updated to only shown anonymised candidate data, so movement of candidates can still be seen and tracked.

Suitable candidates

The Suitable Candidates screen will list all candidates suggested for the job position being viewed.

Scroll through the list of candidates by clicking the page numbers or arrow icons located above the list of candidates.  Click on the Results per page: dropdown and select an option to change the number of candidates listed on each page:

The following information is present for each suggested candidate:

  • Name – click to view the Candidate Overview
  • Profile picture – if uploaded
  • Previous experience
  • Star rating – indicates candidate suitability based on the information provided in their CV and profile (max 5 stars)

Click on the arrow icon to view the candidate’s current location, salary expectations and qualifications (if stated):

Filter Suggested Candidates

You can filter candidates using any or all of the following filters:

  • Filter by tags – click the show button to display a list of tags and click on the tags you wish to filter candidates by.  Click x to close.
  • Experience – move the slider left using the mouse to filter candidates by the number of years experience stated in their profile.
  • Job Level – click on any of the checkboxes that you wish to filter candidates by.
  • Industry Sectors – click the show button to display a list of industry sectors and click on the checkboxes you wish to filter candidates by.  Click x to close.

Email a candidate’s CV (& Questionnaire) to a colleague from within CV Search

Candidate’s CVs can be shared with your colleagues and emailed to any valid email address.  To email CVs, job seekers need to be selected in CV Search and the Email CV button clicked (see Search CVs for candidates for more details on searching and selecting candidates).

You may send a ‘page’ of CVs (& Questionnaires) at any one time, simply select each candidate using the tick box to the left of the image above, or from the Select button (see image below) you can select all on page

You may send further batches of candidates if you need to using the same method, page by page.

Please note, where no ‘original CV’ has been uploaded, this type of CV will not be available to send, though a Tribepad generated CV will be created using the candidate’s profile.

The benefit of using Tribepad generated CVs is that their format will be identical, and (though reliant on the information given by the candidate) they will be consistent and fair for the recruiter or hiring manager to make a decision from.

 

How to send the CVs –

A CV will be generated using the information stored on the job seeker(s).

Where a candidate has completed a Questionnaire, you will also be able to share this, if you want to.

To create the email, type the email address into the To: box.  Add a Subject and a message.

If you’d like to format the message text, use the options located above the main text box:

The number of CVs attached will correspond to the number of job seekers.  You may choose whether to attach a Tribepad generated CV (this will ensure all CVs are formatted in the same way), or the job seeker’s original CVs –

Click the Send button to send the email and return to CV Search.  A confirmation message will be shown on CV Search.

Click X to cancel the email and return to CV Search.

Contact a candidate via CV Search

Emails can be sent to an individual job seeker or multiple job seekers. To send an email, recipients need to be selected in CV Search and the Contact button clicked (see Search CVs for candidates for more details on searching and selecting candidates).

Select an email template from the Choose Email Template: dropdown, if required:

Click the Send button to send the email and return to CV Search.

An email will be sent to the address the job seeker used to register their account.  A confirmation message will be shown on CV Search.

Search CVs for candidates

This is an introduction, to searching CVs within Tribepad –

To get the most out of Tribepad and find out the many ways you can search the top talent within your database, please go to cv-searching-all-you-need-to-know/

There are four main ways to search for candidates in your Tribepad database:

To start a CV search, click CV Search on the top navigation bar:

Saving a Search & using Saved Searches

CV search criteria can be saved by clicking on the Save search button:

To use a saved search, click the Saved searches button and select the name of the search from the list of options:

Hide filter widgets

The faceted ‘filtering’ widgets along the left hand side of CV Search can be hidden by clicking the Filter button:

Candidate information

For each candidate returned by a search, the following information will be displayed:

  • Name – click to open the Candidate Overview
  • Availability for work indicator – either a green circle (available), orange circle (available from date) or red circle (not available).  Hover the mouse over the circle for further details:

To display each candidate’s full work experience history (if provided), click the Show more details checkbox to display a tick:

Performing tasks on multiple candidates

Tasks can be performed on multiple candidates by selecting them in the candidate list. Candidates can be selected in two ways:

1. Tick the checkboxes located to the left of the candidate information

To deselect, click the checkbox again to remove the tick.

2. Use the Select option

Click Select button and click one of the radio buttons.  In this example, 9 candidates were returned by the search so an option exists to select all 9 candidates:

When candidates are selected the Contact, Invite or apply, Tag and Email CV buttons on the task bar will be enabled:

Advanced Boolean search

Boolean operators AND, OR and NOT can be used to search for data that meets several criteria:

  • The OR operator is represented by the | (pipe or break) character (often to the left of the Z key on a keyboard)
  • The NOT operator is represented by the (dash).
  • The AND operator is represented by a space.
  • A phrase can be represented within double quotation marks and .  Without the quotations, CV search will treat the phrase as separate words to search for.
  • You can also group operators with brackets.
  • Commas are used to add terms to the a particular fields

For example, the following phrase can be entered in the Skills / Keywords search box to find all Agile trained Project Managers with either KANBAN or SCRUM experience, but excludes anyone that mentions Prince2 or Princeii:

Agile “Project Manager” (KANBAN | SCRUM) -prince2, -princeii

Click Advanced Search to open the advanced search panel:

Note:

‘KANBAN’ and ‘SCRUM’ are placed in parentheses in order to be evaluated together . Thus this query will effectively perform multiple searches and combine the results. In this case:

Search 1: Show all Agile, Projects managers with KANBAN experience but excludes anyone that mentions Prince2 or Princeii

Search 2: Show all Agile, Project managers with SCRUM experience but excludes anyone that mentions Prince2 or Princeii

 

Searching for multiple instances of a word / phrase

You will notice in this example above that the ‘NOT’ field includes ‘prince2’ and ‘princeii’.  This is to account for different ways a user may write ‘Prince2’ or a particular qualification in their profile/CV.

This could include many more permutations.  In this example we may want to omit all profiles with any mention of “Prince” so we could include all instances of the word / phrase in the ‘NOT’ field:

You will notice that the phrase ‘Prince 1 and 2’ has been included in quotations as we want to omit these profiles with this exact phrase.

In many cases, entering every possible instance of a word / phrase may not be practical as we may need to include exact phrases, as well as many different permutations of effectively the same word.

In these cases we can use a Proximity search to minimise the amount of queries we have to enter.

 

Proximity Searches

A proximity search uses the ~ symbol (Tilde key, usually located on the # (hash) key). This allows words to be found which are within specified distance of one another.

To perform a proximity search use the tilde, ~, key at the end of a phrase.

For example, to search for and omit profiles that mention ‘Prince’ and ‘2’ within 3 words of each other, use the phrase:

“Prince 2″~3

This search command now covers Prince 2, “Prince 1 and 2”, Prince 1/2.

Therefore to cover all permutations of ‘Prince’ this function can be added to ‘prince’ and ‘prince2′ to omit every profile mentioning Prince:

Including results

Where the previous example shows omitting profiles from a search, you can also use this feature to include profiles in your search results.

To do this, you would simply enter the search Prince, Prince2, “Prince 2″~3 into the Skills / Keywords search box in the CV Search module and click Search:

This search will return all profiles that mention ‘Prince’, as opposed to removing them from the result set.

The Faceted ‘filtering’ widgets along the left-hand side of CV Search allow you to refine your searches from some of the structured data known about candidates.

Filter by Candidate Tags

This section allows you to filter through candidates by assigned tags. This includes ‘Personal’ and ‘Global’ tags, and you can choose whether to filter by one or multiple tags at a time.

For example, filtering for the tag ‘Engineering’ will return candidates who have that tag assigned to them. Filtering for ‘Engineering’ and ‘PHP Developer’ will return candidates that have ‘Engineering’ or ‘PHP Developer’ or both tags assigned to them.

Note: This will only return candidates who have tags assigned to them, and will filter out candidates with no tags assigned.

To search candidates using Filter by Candidate Tags, click Please select and select tags from the pop up box, then click Done.

Salary Range

The  Salary Range option allows you to filter through candidates by a specified salary. The slider allows you to choose how much, and goes from 0K to 200K. The results returned will include candidates with the exact, or anything going upto the amount you have specified.

For example, setting the slider from 5k to 22K will filter and return candidates that have specified a required salary of anything between 5,000 and 22,000, in their currency:

Distance from Job

The Distance From Job option allows the user to filter for candidates by their location.  To filter by location you must firstly select the country and then type the location or postcode.
The system then calls a third party service to get the geocode (longitude and latitude) of the given location.  A postcode/zip code will provide a closer geocode to your location than a city or state.

You can then filter out candidates outside a given radius to the geocode using the distance slider:

Experience

The Experience option provides a slider on which you can filter by the amount of years experience a candidate has. This is determined by what the candidate has specified in their profile.  The options a candidate can specify are:

  • Less than 1 year
  • 1+ years
  • 2+ years
  • 5+ years
  • 7+ years
  • 10+ years
  • 15+ years

Note: candidates do not have to specify their experience so this may not return a full set of results.  Note also that some countries may have this disabled this option due to concerns around age discrimination.

The slider ranges from 0 years to 15 years:

Job Level

The Job Level option enables you to filter through candidates according to what they have defined as their ‘Job Level’ in their profile. The options to filter by include:

  • Student (Higher education/Graduate)
  • Entry Level
  • Experienced (Non-Manager)
  • Manager (Manager/Supervisor of Staff)
  • Executive (Director, Department head)
  • Senior Executive (Chairman, MD, CEO)

Note: this filter will only return candidates who have provided this information.

To use the Job Level filter simply select the options you wish to search by.  For example, selecting the Student (Higher education/Graduate) option will only return candidates that have this set in their profile:

Status & Availability

The Status & Availability option can filter candidates according to for the availability defined in their profile. The options to filter by include:

  • Actively looking for work
  • Open to new opportunities
  • Looking for part time work
  • Looking for full time work
  • Looking for contract work
  • Employed

  • Not looking for another job just yet

Below these filters there is an Available from: option. Clicking on the box will display a date picker, enabling a date to be specified from which candidates are available from:

The Type of Candidate option enables filtering of candidates according to whether they are internal or external.  This could be useful for finding skills already within your business.

Simple keyword search

The simple keyword search has 3 options to choose from:

  • All
  • Name
  • Exact match

These are located just beneath the main keyword search box, and are displayed as radio buttons:

Search All

The search All function will return candidates based on any keywords entered.  You can specify a single keyword, such as ‘Project manager’ or a phrase, such as ‘the London marathon’.

Using All works similarly to Google, it returns results based on the relevancy of your keywords.  Like Google, the relevancy is determined by a number of factors, including (but NOT limited to):

  • What data the keywords are found in – for example, a job title is considered more relevant than a job description, and the most recent job title is considered more relevant than a past job title someone had.  The search system will not only search the structured data within a candidate’s profile, if a candidate has uploaded a CV then it will also search that too.  Note, however, that structured data in a candidate’s profile is deemed to be more relevant than unstructured data in a candidate’s CV.
  • Whereabouts in that data it was found – for example, if the phrase was found in a job description, course description or even the candidate’s hobbies and interests, then if the keyword (such as Producer) is found near the beginning of the description then it will be considered more relevant than someone having the keywords nearer the end of their description – in writing about anything in life, if something is relevant then it is generally mentioned early.
    Keywords found later in the descriptions are still scored, but are considered less relevant than those found earlier.
  • How often it is found –  if a job seeker is a developer then you would expect them to mention it more than once in their CV.  CV Search considers candidates more relevant if the keywords are found more than once in the CV and/or profile.
  • Finding semantically similar words –  for example, if you search for CEO, it will also search for Chief Executive Officer, Manager Director, etc.  This helps because people use different terminology and eve different departments in the same company.
  • Some extra magic!

The CV Search module helps you to find candidates more quickly and more easily, and it is in your and your job seekers’ interest to make candidate profiles more easily searchable.  Tribepad encourages candidates to complete their profile as well as uploading their CV, but customers should encourage their job seekers too.

To use the function, ensure the All radio button is selected, enter any keywords you wish to search by, and click Search.

Clicking on the name of any candidates listed will display their full profile.

 

Search Name

This option is purely for performing searching for a candidate by their name. For example, this can include:

  • The full name: ‘Brad Taylor’
  • The first name: ‘Brad’
  • The surname: ‘Taylor’

Whilst it will find candidates with the exact name you have specified, it may also find names based on partial names being entered, for example searching for ‘Alex’ may also find ‘Alexander’.

To use the function, ensure the Name radio button is selected, enter the name you wish to search by, and click Search.

Exact Match

The Exact Match option will perform a deep search across the uploaded CV and profile.  It will find exact matches, but supports stemming and synonyms.  This means if a user searches for ‘Senior Reporter’ it will find ‘Senior Reporter’ as well as ‘Senior Reporters’ (stemming – see below) and will also match ‘Senior Journalist’ (synonym).

To use the function, ensure the Exact Match radio button is selected, enter the data you wish to search by, and click Search.

Stemming

Stemming is only enabled for the All and Exact Match options. Basically, stemming  matches different forms of a word. For example:

  • Searching for ‘Producer’ will find ‘Producer’, ‘Producers’, ‘Product’, ‘Production’, ‘Producing’ etc.
  • Searching for ‘Manager’ will find ‘Manager’, ‘Managers’, ‘Management’, ‘Managing’ and ‘Managerial’ etc.

1 – Tribepad Recruitment Stages:

The New Applicant status provides details of all new applicants that haven’t yet been moved to the next stage of the recruitment process. 

There are multiple options available to you within each of the Recruitment Stages (mentioned above) such as emailing an applicant perhaps to make initial contact or ask for further information.  You may want to invite them to book on to an interview that you have scheduled, perhaps you would like to ask them to complete a questionnaire or take part in a video interview, hire the applicant or ultimately reject their application as unsuitable.

During the applicant processing journey you will notice various icons, each of which contain information (use your cursor to hover over the icon) and or navigate (use your cursor to select the icon) you to different areas of Tribepad.

To help ease the processing journey within New Applicants we have identified list of icons that you can quickly refer to if you are unsure of their meaning.

 2 – How to Navigate to the New Applicants Tab:

To view the New Applicants that have applied for a particular role, click the number displayed in the New Applicants column for the job you wish to view:

If the job post is not displayed on the Dashboard, click Jobs on the top navigation menu and select View Jobs List. 

Alternatively, click View All on the Dashboard:

This will display the Jobs List.

 3 – New Applicants Tab – Content Overview:

The New Applicants Tab is broken down into the following data;

  • The total number of new applicants
  • A List of all new applicants
  • A job description
  • The option to share the job with a colleague
  • The option to reject or withdraw a candidate
  • The option to review who the job has been shared with
  • The option to review which candidates have been rejected or withdrawn
  • Links to the URL for the Job Page and Apply Page

 4 – The Applicant Name – Functions Available:

There are multiple functions available to you, just by using your cursor to hover over the applicant name:

The Quick Action pop-up allows you to review the following:

  • Application Details – such as Registration Time, Application Time and User Name
  • Applicant Badges and Tags
  • Quick Actions – such as Add to Shortlist, Interview, Hire and Reject

Current/Previous Role pop-up:

  • Shows the applicant’s most recent role – if they have completed the information on their profile

 5 – Application Status:

Each applicant will be assigned a status

  • Incomplete – applicants who have not completed the application process
  • In Process – applicants who have completed the application process

 6 – Application Questionnaires – Pre-screening Questionnaire:

If a pre-screening questionnaire is assigned to the job post, one of the following icons will be present for each applicant:

 QuestFailed   Questionnaire complete: failed – the number denotes the applicant’s score
 QuestIncom   Questionnaire incomplete  

 

If the pre-screening questionnaire is complete, click on the icon to view the questionnaire.  The following information will be displayed:

  • the applicant’s answers
  • the total score
  • the score for each question
  • if any killer questions were failed

Click the PDF button if you want to download the completed questionnaire as a pdf:

 7 – The Applicant Mini Profile:

The Applicant mini profile provides an overview of the actions that the applicant has taken, for example a list of applications made.

The buttons at the top of the mini profile can be used to download a copy of the applicant’s CV.  The applicant’s original CV can be downloaded or a CV can be generated using the information stored on the applicant:

  • You can also use the Cog Menu to start processing the applicant to other stages of the recruitment process:

  • Click on the arrow buttons located on the top left/right of the profile to view the next applicant’s profile:

8 – The Applicant Filter:

If you would like to filter your applicants by certain criteria, you can elect to use the filter option.   This will allow you to quickly review those candidates that you perhaps want to Shortlist or Reject.

  • Completed and passed killer questions
  • Incomplete Applications
  • Failed Killer Question
  • Question and Answer
  • Skills and Location
  • Interview Stage
  • Right to Work Status
  • Video Interview Status with Voting Options
  • Candidates in Stage
  • Candidate Type

To set the filters, click on the ‘Filter’ button:

This will open the filter options panel.

When you have selected the options you wish to filter by, click the Apply Filters button.

All applicants that match the filter(s) will be listed below the filter options panel.

To reset the filters, click the x button:

Note: once the filters have been set they will be applied to all stages in the ATS until they are reset.

 

9 – The Applicant Sort Option:

You can elect to sort your applicants using the sort function;

This allows you to view candidates that you have seen in different stages, by their Video Interview score or by their surname.

 

10 – Processing Applicants:

When you have reached a point where you would like to carry out some actions against your applicants, select the check-box next to the applicant name (you can use the ‘Select’ menu to choose more than 1 applicant).

You should now see that the Cog Menu (Options Menu) has become available – use your cursor to hover over the cog menu and review the options available in terms of applicant processing.

Cog Menu – Options Available:

  • Email – see Send an email to a jobseeker for more details
  • Add to shortlist – applicant(s) will be shortlisted, see Shortlisted Applicants for more details *
  • Add note – see Add a note to job seeker for more details
  • Reject – applicant(s) will be rejected, see Rejected Applicants for more details
  • Confirmation of interview – see Confirmation of interview for more details
  • Invitation to book interview – see Invitation to Book an interview for more details
  • Mark as withdrawn – applicant(s) will be withdrawn, see Withdrawn Applicants for more details
  • Add to In-Review – applicant(s) status will be set to ‘In-Review’, see Applicants In-Review for more details *
  • Video Interview Options – invite your candidate to take part in a video interview
  • Other Options
  • Mark as accepted – applicant(s) status will be set to ‘Accepted’, see Accepted Offers for more details
  • Hire – applicant(s) status will be set to ‘Hired’, see Applicants Hired for more details
  • Offer job – applicant(s) status will be set to ‘Offered’, see Job Offers for more details
  • Email CV/Questionnaire – share the candidate’s CV and questionnaire with a colleague (see Email a CV for more details)
  • Grant Secure Profile Access – allow a colleague secure access to the candidate’s profile, without them having a Tribepad user account
  • Request offer approval – see Request approval for a job offer for more details
  • View/Set Selection Method – see View and set a selection method for more details
  • Send SMS – contact your candidate by SMS from the system
  • Send Questionnaire  if you would like to gain further information from your applicant you could send the a questionnaire
  • Attach Document – Perhaps you would like to upload interview notes

* Note: If multiple applicants are selected, you will be asked to confirm the selection before proceeding with the action:

Click on an applicant name to view their Candidate Overview.

To remove an applicant, click on the X alongside their name.

Click Yes, continue to confirm or click Cancel or X to cancel and exit.

When confirming the action, a review pane will be displayed:

Click Close to close the review pane.
