As mentioned previously you will need to have access to the Manage tool and have the relevant permissions allocated prior to making any updates to your ATS via the Manage tool itself.

If you are a user that can make these kinds of changes, please follow these steps:

1. Log in to the Manage tool.

2. Select ‘Platform Configuration’ from the main navigation bar.

3. Select ‘Data Protection’.

4. You will be presented with a new page, down the top left-hand side you have 3 options to select from.

  • User Opt-ins

This page will allow you to set your Password Policy, Usage Terms and Communication opt-ins, Opt-in permissions for the candidate and Opt-in Documents.

  • Data Retention

This page will allow you to determine grace periods for when a candidate requests to delete their profile.  If you integrate with other 3rd parties, you can enter the email address of your main contact, so that an email can be generated to them to advise that the candidate account should be deleted.   You can also choose whether you delete or anonymise candidate data.

  • Emails for importing candidates

This page will allow you to modify the content of emails that are generated for example when a Passive or Agency candidate is created/uploaded.
