The shortlisting questionnaire can be used to record why you are shortlisting a given candidate for your job.  This could be useful for any future auditing, but also useful for informing other managers why the candidate was shortlisted. You can decide what questions are in your shortlisting questionnaires.  You simply select the Shortlist questionnaire when you are creating or editing your job.

Creating your questionnaire

You create a Shortlist questionnaire in exactly the same way as you do any other questionnaire.  Simply select the “Shortlist” option in the “Questionnaire” drop down

Then follow exactly the same process as for creating any type of questionnaire.

Selecting the questionnaire

Once you have created your Shortlist questionnaires, they will be available to select  from when you are creating and editing your jobs.   Simply click on the “Shortlist” drop down and select your questionnaire.

Completing your shortlist questionnaire

Once you have shortlisted someone you can complete the “Shortlist” questionnaire against each candidate.  You will see a questionnaire icon next to the candidate’s name.  To complete a Shortlist questionnaire, simply click on the red questionnaire icon.

The Shortlist questionnaire you previously created and assigned to the job will then appear.  Once you have completed the questionnaire, the questionnaire icon will turn green.

Submitting the shortlist

One the recruiter has completed their shortlist and filled out any necessary shortlist questionnaires, they can submit the shortlist to the hiring manager.  To submit the shortlist to the hiring manager, the user will simply click on the “Submit shortlist for review” button.  The hiring manager will then receive an email informing them that the shortlist is ready for review.  Note that the hiring manager will be able to see the shortlist before officially being submitted, the submission is for auditing and alerting purposes only.

Once the shortlist has been submitted, all completed shortlist questionnaires will have a tick against them.  Any candidates submitted where the shortlist questionnaire was not completed, will show a black questionnaire icon to signify that it was submitted without completing the questionnaire.

If the recruiter later shortlists more candidates after submitting their last batch then the shortlist questionnaire icons for the new candidates will be red until completed and submitted.
