Applicant’s can cancel their interview and re-book if they wish. For more details on how they can do this, see How do I book an interview?
To change an applicant’s interview slot, click on the Edit button for the job on any application stage in the ATS:
This will open the Job Editor. Click on the Interview Slots link to view the interview slots:
This will open the Create/Edit Interview Slots screen. From here you can edit slots and view who is booked in.
View applicants booked into a slot
To view the applicants booked into a slot, click on the Booked label for the slot you wish to view:
This will open a tab listing the applicants booked into the slot, ordered by application time/date. This tab will be opened in a new browser window.
The information on the tab will indicate the number of slots currently booked and the total number of slots. If additional slots exist, these will be displayed as additional tabs. You can click on the tabs to view the list of candidates booked into each slot.
The following applicant details will be displayed:
- Name
- Location, if stated
- Previous experience, if stated
Hover the mouse over the applicant’s name and previous experience to display more details.
To display an applicant’s Candidate Overview, click on their name.
The following markers may be displayed:

Labels, and in some cases further information, will be displayed by hovering the mouse over the marker icons.
If a pre-screening questionnaire is complete, it can be viewed by clicking on the green question mark icon:
Clicking on the Profile button will display their applicant profile:
You can add notes or email selected applicants by clicking the required option from the Options menu. For more details, see Add a note to a job seeker and Send an email to a job seeker.

Edit interview slot
The following information can be edited for each slot:
- Interview Address – Type into the fields
- Country – Click on the dropdown and select the required country
- Interviewer and Job Title – Type into the fields
- Interview Stage – Click on the dropdown and select the required interview stage
- Interview Slots – Type into the field
- Interview date – Click on the calendar icon and select the required date from the date picker
- From and To times – select the required hours and minutes from the dropdowns
Note: you may want to view your interview calendar before changing the date and times of a slot. To do this, click the See My Calendar button located at the top right of the screen. For more details, see View interviews on your calendar.
In this example, the date of and interview slot has been changed to the 1st Oct 2014:
When you have finished amending the slot(s), click the Save button located at the bottom of the screen to save your changes:
If applicants were booked into any amended slot(s), the Create/Edit Interview Slots screen will be re-displayed with the following messages located at the top of the screen and above the amended slots:
Note: these warning messages will be displayed until any amended slots have been set to Mark as Notified. To notify applicants of changes to the interview slot, see the section below.
Send an email notification
To send applicants an email notification of changes to their interview slot, click the Options menu for the slot and select E-mail Candidates:
This will open a tab listing the applicants booked into the slot. This tab will be opened in a new browser window.
From here, select the applicants you wish to email, then click the Options menu and select Email. For more details on sending email notifications, see Send an email to a job seeker. For more details on the general functionality of this screen, including how to select candidates, see Process Applicants – More functionality.
When applicants have been notified, return to the Create/Edit Interview Slots screen and set the slot to Mark as notified:
Delete interview slot
An interview slot can be deleted by clicking the – button located at the bottom of the slot you wish to delete:
This will display a confirmation pop-up. Click the OK button to delete the slot or Cancel to cancel.
If OK is selected and applicants were booked into the slot, the Create/Edit Interview Slots screen will be re-displayed with the following message located in the position of the deleted slot:
Note: this warning message will be displayed until any deleted slots have been set to Mark as Notified. To notify applicants of changes to the interview slot, see the section above.
If a slot with bookings is deleted, affected applicants will see an invitation to book an interview on their dashboard when they next log in:
Alternatively, another slot can be booked for them. For more details of how to do this, see Book an applicant for an interview.
Add interview slot
New interview slots can be created by clicking the + button located at the bottom of the screen:
