Advanced Filtering of Candidates within the ATS

It’s often a very time consuming task to prepare your shortlist when you have a high volume role.  That’s why we created Advanced Filtering to help you save so much time, so for example, you can quickly filter against all candidates who have completed their pre-screening questionnaire and have also passed all the killer questions in that questionnaire.

To use advanced filtering, select the icon displayed below from within your candidate processing page.

Now you will be presented with your filtering option.

  • Completed and passed killer questions: This will filter all candidates who have completed their pre-screening questionnaire and have passed all (if any) killer questions contained within that questionnaire. You may elect to shortlist all of these candidates if the closing date for the role has passed.
  • Incomplete applications: This will show you all applicants who have not completed their pre-screening questionnaire.  If the closing date of the job has passed, you may want to reject all these candidates.
  • Failed killer question: This will show you all candidates who have failed the killer questions in their pre-screening questionnaire.  You may elect to reject all these candidates.
  • Score >: This will allow you to see any candidates who have scored above a certain score in their pre-screening questionnaire.  Another useful shortlisting tool.
  • Question: / Answer(s): This allows you to check for specific answers to one or more questions. As an example, in your pre-screening questionnaire, you may ask your candidates how much experience in the relevant field they have, then filtering for any candidates with 10+ years experience.
  • Skills: Allows you to search for any skills you may find desirable that the candidate has listed in the skills area of their profiles.
  • Location: Allows you to search for candidates within a specified distance of a certain location.  This could be useful if you don’t want your job seekers to commute more than a certain distance.
  • Interview Stage: Allows you to search for any candidates t a certain stage of your interview process for this role.
  • Right-to-Work status: Here you can filter out those who answer your RTW question (where this integration exists) as passed, failed, pending review, document not provided
  • Tribepad Video Interview Status: Filter Complete/Incomplete interviews plus those with/without downvotes
  • Candidate Type: External, Internal, Passive Candidate, Agency Candidate

 

When you’ve determined which of these filters you would like to use, simply click on the Apply Filters button.

 

Also – from either your Jobs List or the Applications Dashboard, you now have the ability to view candidates in process for your vacancy and instantly see how far they are with their application, from the coloured progress dots shown in this image –

Here, on the image below, you can see what each coloured dot means –

Green = completed

Orange = started but not completed

Grey = not yet started

My Jobs List

The Job List (found under the Jobs tab) displays all jobs created and shared with the recruiter, organised into tabs by status (active, expired, unfinished, shared and closed).

Each tab will display details of the relevant jobs and application information.  It is possible to preview, edit, un-publish, delete, close and re-open jobs from these tabs.

There is also a search facility and a link to view the Job Report for each job listed.

To view the Jobs List by clicking Jobs on the top navigation and selecting View Jobs List:

Alternatively, the Jobs List can be displayed by clicking the View all button in the My Active Job Posts area on the Dashboard:

The Jobs List will be displayed with the My Active Job Posts opened as default.

 

Authorisation Status

A coloured icon will be displayed to the left of each job title indicating if the job is authorised, pending authorisation or not authorised:

Pending Pending Authorisation  Job authorisation requested
 Authrised Authorised  Job authorisation completed
 NotAuth Not Authorised Job does not require authorisation

View & sort jobs

Jobs will be listed in descending order of date creation and each page will list up to 10 jobs per page as default.   If more than 10 jobs are returned, additional pages can be viewed by clicking on the page number icons displayed under the list.  The page displayed will be indicated by the page number icon appearing highlighted at the bottom of the list.

The data can be sorted by Job Title, Owner, Location, Open Date and Expiry date.  To do this, click on the ‘sort’ icon located to the right of the column header you wish to sort by.

Clicking on the icon again will reverse the sort order.  The icon will change to either an up or down arrow to indicate the order of sorting. In this example, the sort icon for Job Title has been clicked twice to sort the data by job title in ascending alphabetical order:

Note: when a sort has been applied the data in all tabs will be sorted. The following information will be displayed for each listed job:

  • Job title – click to open the full job description
  • Owner – click to open the user profile
  • Location
  • Open date
  • Expiry date
  • Number of applicants – click to open the New Applicants tab of the ATS.  For more details, see New Applicants.
  • Number of suitable candidates – click to open the Suggested Candidates tab of the ATS.  For more details, see Suggested Candidates.
  • Number of new applicants – click to open the New Applicants tab of the ATS.  For more details, see New Applicants.
  • Number of applicants in process – click to open the New Applicants tab of the ATS.  For more details, see New Applicants.
  • Options – click on an icon to preview, edit, close, un-publish, re-open or delete a job.  For more details, see the section below.
  • Job Insight – click the icon to open the Job report.  For more details, see Job Report.

 

Options

The following option icons will be present for each listed job:

preview Preview click to view the full job description
 Edit Edit Job click to edit the job in the job editor.   For more details, see Edit or close a job post.
 close Close/Delete click to close the job.  Click OK on the pop-up to confirm.  Candidates will not be able to search or apply for the job unless it is re-opened.  If using this option when a job is already closed, it will be permanently deleted.
 unpublsih Unpublish click to un-publish an active job post.  Click OK on the pop-up to confirm.  Candidates will not be able to search or apply for the job unless it is re-published (by editing the job post within the Job Editor).
publish to job board icon Publish to Job Boards Publish to job boards. Publishes the job to job boards via your chosen multi-poster.

Labels will be displayed by hovering the mouse over the marker icons.

 

Search jobs

To perform a simple search for jobs, the recruiter can enter all or part of the job title or job reference number into the search box.  If the recruiter only wishes to search their own job posts, they can click the My jobs only checkbox to display a tick.  The Results per page number can be changed by clicking on the dropdown and selecting the required option.  To perform the search, click the Search button. In this example, a search has been performed for any jobs with the term ‘HR’ contained in the title.  The recruiter has selected to display a maximum of 20 jobs per page:

Advanced Search

The recruiter can filter their search results by clicking on the Advanced Search link and using the options in the panel.

The following search filters are available:

  • Country – click on the dropdown and select the country required
  • Location – enter part or all of a location
  • Open Date – click on the From and To date pickers to select the required dates
  • Owner – enter part or all of the name
  • Job Category, Business Unit, Region, Internal Category – click on the dropdowns to select the options required

To perform the search, the Search button should be clicked.

In this example, a search has been performed for any jobs with the term ‘Devel’ contained in the title and additional filters applied to retrieve only jobs based in the United Kingdom with a location containing the term ‘Newc’.  Results will also have an open date ranging between 01/07/2016 and 31/08/2016:

Click the Return to Simple Search link to close the Advanced Search panel:

 

Note: to display all jobs again the recruiter will need to manually clear any search filters and click the Search button.

 

Create a Job Post

The recruiter can create a new job post by clicking the + Create a Job Post button.
